Who this is for
This guide is for lawn care and landscaping companies that get slammed with requests every spring, quote big installs, and live on customers who come back season after season.
It’s written by industry experts, not a software company. It shows where landscaping jobs slip away, which AI agents close those gaps, and in what order to switch them on. Every number here comes from you; where we show math, it’s a worked example.
Where landscaping jobs slip away
Landscapers lose the most in the spring rush and in the months between seasons. Before the job, these are the seven leaks we see most:
- Calls during crew days. Everyone is on a mower or a job site, and the caller tries the next company.
- The spring rush. Requests pile up for weeks, and slow replies lose the easiest jobs of the year.
- Slow quotes on installs. Patios, sod, sprinklers and designs take days to price, and the first clear quote sets the bar.
- Install quotes that go quiet. Big projects take weeks to decide. Without follow-up, they stall or go to another bid.
- Seasonal customers who drift away. Nobody reminds them about aeration, fall cleanup or sprinkler blowouts, so another company gets the next season.
- Happy customers who are never asked for a review. A beautiful yard sells the next one, if anyone hears about it.
- Big installs with no way to say yes. A $12,000 backyard is easier to approve as a monthly payment.
After the job is sold, two more leaks cost you time and cash:
- Weather and route changes. Rain pushes the schedule and customers aren’t told.
- Slow invoicing on recurring work. Monthly mowing bills go out late and payments slip.

What it’s costing you
Landscapers lose the most to spring-rush missed calls and install quotes that go quiet.
Worked example. These are example numbers, not yours: 60 inquiries in a spring month, 25% missed, 40% of answered inquiries become jobs, and a $1,500 average first job.
| Step | Math | Result |
|---|---|---|
| Inquiries missed in a spring month | 60 × 25% | 15 |
| Jobs those would have become | 15 × 40% | 6 |
| Revenue walking out the door | 6 × $1,500 | $9,000 a month |
Install quotes work the same way. With 8 install quotes a month at $12,000, winning one more through follow-up adds $12,000. Many of those customers also come back every season. These are estimates, not promises, so the calculator shows a range from half to all of the number.

These are estimates, not promises. Some missed callers were never going to hire you, so the range runs from half to all of the number.
Your first 30 days
Best started 4 to 6 weeks before your spring rush.
- Week 1: Answer every request. AI receptionist, missed-call text-back and quote-visit reminders.
- Week 2: Win the installs. Same-day quotes, follow-up and financing on every install quote.
- Week 3: Keep every customer. Season reminders to past customers and review requests after every install.
- Week 4: Run the busy days. Weather rescheduling and same-day invoicing with autopay.
What to skip for now
- More ads in spring, when you can’t answer the requests you already get.
- A new website, unless your free scan flags it. If your site is slow, hard to use on a phone or hard to book from, fixing it moves up the list, because every other fix sends people there.
- Daily social posts. Before-and-after yards and reviews do more.
